We will integrate accessibility considerations into all aspects of our service delivery and workplace management. This policy shall be made readily accessible to all employees, clients, and relevant third parties. It will be provided to all staff and integrated into our standard onboarding and training procedures.
1 Our Commitment to Inclusion
System in Motion considers the dignity, inclusion, and equal opportunity of all employees, clients, and partners to be fundamental to our mission of empowering businesses with AI mastery. We are committed to creating an environment where everyone, regardless of disability, can access our services, contribute meaningfully, and achieve their full potential. To achieve this, we commit to an active policy designed to:
- Ensure Equal Access: Provide reasonable accommodation and adjustments to our training programs, digital platforms, consulting sessions, and physical venues to ensure individuals with disabilities can participate fully and effectively.
- Prohibit Discrimination: Eliminate all forms of discrimination, direct, indirect, harassment, and victimization, based on disability in recruitment, employment, service delivery, and all business interactions.
- Promote Awareness: Foster a culture of understanding and respect among all staff and trainers through ongoing education on disability inclusion and accessibility.
- Comply and Excel: Meet and strive to exceed our obligations under the Law on the Protection of Persons with Disabilities and other relevant Chinese laws and regulations, adhering to the principles of equality, participation, and shared responsibility.
- Continuous Improvement: Regularly review and improve our practices, digital assets, and physical environments to enhance accessibility and inclusion.
As the leadership of System in Motion, it is our duty to ensure this policy is championed, resourced, and integrated into all business operations. We will set measurable objectives to monitor our progress.
2 Responsibilities
- Leadership/Management: Owns the policy, ensures its implementation, allocates necessary resources, and fosters an inclusive culture. Responsible for reviewing objectives annually.
- All Staff & Trainers: Must understand and adhere to this policy. They are expected to treat everyone with respect, engage with clients and colleagues inclusively, and promptly escalate any accessibility concerns or requests for accommodation to management.
- HR & Operations: Responsible for integrating inclusive practices into recruitment, onboarding, staff training, and the procurement of accessible tools and platforms. They will manage the process for implementing reasonable accommodation.
- Clients & Learners: Are encouraged to communicate any accessibility requirements or needs for reasonable accommodation to their account manager or training coordinator in advance, allowing us to prepare effectively.
3 Practical Arrangements & Implementation
To give effect to this policy, System in Motion commits to the following actions:

Reasonable Accommodation: We will engage in a confidential, interactive process with individuals (employees or clients) to provide effective, reasonable accommodation. This may include, but is not limited to:
o Providing training materials in accessible formats.
o Ensuring our website and digital learning platforms follow accessibility principles.
o Modifying training schedules or break patterns where needed.
o Selecting physically accessible venues for in-person events and ensuring clear communication about venue accessibility features.

Policy Accessibility: This policy will be available in an accessible format on our company website. Key commitments will be communicated to clients at the outset of major training engagements.

Grievance Procedure: Any individual who believes they have been subjected to disability discrimination or that their request for accommodation was improperly handled may raise the issue through our formal grievance channel, which guarantees a fair and timely review.

Review: This policy will be reviewed at least annually, or in response to changes in legislation or business practice, to ensure its continued relevance and effectiveness.
4 Current Objectives
- Audit of our primary digital learning platform for key accessibility compliance issues.
- Include accessibility requirement field in training registration and client contracts.
- Provide mandatory disability inclusion training for all new hires and trainers.
- Establish a preferred vendor list for accessible training venues in key Chinese cities.
5 Policy Promotion
We will promote this policy and its principles by:
- Discussing it during staff and trainer induction.
- Ensuring it is readily accessible on our corporate website.
- Incorporating statements of inclusion into our training introductory materials.
- Communicating any updates to the policy to all staff via company channels.
6 Endorsement
